Your Seller Guide

Everything you need to list, sell, ship, and get paid. Start here if you're new to selling on The Gear Project.

Getting Set Up

Before you can publish your first listing, you'll need to create your account and connect your bank account via Stripe Connect. The Gear Project never sees your financial details. Stripe handles everything directly and securely.

one

Create Your Account

Sign up with your email address. Verify your email and you're in.

two

Connect via Stripe

Connect your bank account through Stripe Connect before you publish your first listing. The listing process will prompt you to do this! It takes a few minutes & you only need to do this once.

three

You're Ready to List

Once your Stripe account is connected, you can publish listings and start selling straight away.

Create a Great Listing

A good listing sells faster, gets fewer questions, and avoids disputes. Here's what to focus on.

Write a Specific Title

Include brand, model, size, and key specs. "Patagonia Nano Puff Jacket, Men's M, Black" does a lot more work than "Puffy jacket." The more specific, the easier it is for buyers to find you.

Describe It Honestly

Mention the item's age, how often you used it, any repairs, modifications, or quirks (even minor ones). Transparency prevents disputes and builds trust with buyers.

Rate the Condition Accurately

Choose from Like New, Excellent, Very Good, or Good. Be honest! Overstating condition is the most common cause of disputes. When in doubt, go one level lower.

Select the Right Box Size

Measure your item before selecting a shipping box size. Choosing a size that's too small can result in carrier adjustment fees that fall on you. How to Ship guide →

Photograph Your Gear

Great photos sell gear faster and prevent disputes. Being upfront about imperfections builds trust! Buyers who know exactly what they're getting are far less likely to raise an issue after the fact.

🏷️ Size Label

Include a clear photo of the size label for all clothing and footwear. This is mandatory. Listings without a size label photo cannot be published.

🔄 All Angles

Shoot the front, back, and both sides. For packs, include the interior. For footwear, include the sole. For tents, show the packed size.

🔍 Wear & Tear

Close-ups of any wear, scuffing, fading, repairs, imperfections or damage are required. One honest photo of a flaw is worth more than five flattering ones.

☀️ Good Lighting

Natural light near a window or outside on an overcast day works best. Avoid harsh flash, which can wash out colour and hide texture.

Price It Right

You set your own price, and you can adjust it any time. Here's how to land on a number that sells without underselling quality gear.

Check What's Already Selling

Browse similar items on The Gear Project (or other websites) to see what comparable gear is listed and selling for. Pay attention to brand, model, condition, and age! All of these affect value. If similar items have been sitting for a while, that may be a signal the price is a little high.

Factor In Condition

A Very Good item should sit below an Excellent of the same model, and both should reflect the gap from new. Buyers compare your listing to retail prices and other resale platforms, so be realistic. That said, quality outdoor gear holds its value well when it's been cared for! Don't undersell a well-maintained piece just because it's used. How to Price Used Gear guide →

How Shipping Works

Shipping is handled through our partner Shippo. You get a shipping label in your inbox as soon as your item sells. Ship within 72 hours of your sale notification. If your item no longer fits the box size you selected when listing, contact support@thegearproject.com before you ship.

Before Your Sale: Choose a Box Size

When you create your listing, select a shipping box size from our nine categories. This is what the buyer's shipping cost is based on at checkout. Measure your item before selecting to avoid adjustment fees later. Full box size guide →

Common Questions

How long do I have to ship once an item sells?

72 hours from the sale notification. Your email will include the specific ship-by date. If you're running close, drop it off as early as possible, buyers can see tracking and appreciate a fast dispatch.

What if I can't ship within 72 hours?

Contact team@thegearproject.com as soon as possible. You can also message the buyer in your inbox. Don't leave the buyer in the dark! Communication goes a long way. We'll help you figure out next steps.

What if my item doesn't sell?

Your listing stays active until it sells or you close it. You can adjust the price, update your photos, or close and relist at any time. There's no time limit and no pressure.

Can I set my own price?

Yes. You set the listing price. Shipping is calculated separately at checkout and paid by the buyer. You can edit your price at any time from your listings dashboard.

What if my item no longer fits the box size I selected?

Contact team@thegearproject.com before you ship. Do not send a package that exceeds the limits of your selected box size. If the carrier charges an adjustment fee, that cost may be passed on to you.

What happens if a buyer opens a dispute?

You'll be notified within 2 business days. We'll review the buyer's photos and your original listing and resolve it fairly. If your listing accurately described the item, the funds are released to you as normal. Full dispute process on Trust & Safety →

How do I actually get paid?

Payment is released to your connected Stripe account 72 hours after the carrier confirms delivery. From there, Stripe transfers the funds to your bank. Processing usually takes 5-7 business days depending on your bank.
