Drop your package at any USPS or UPS location (based on shipping label). You and the buyer will both get tracking updates.

Choosing the Right Box Size

Outdoor gear can be bulky, which is why we built this platform: to make shipping as easy as possible. Our standardized box category system allows us to keep shipping prices as low as possible for the entire community.

Why this matters: Shipping costs are based on the box size you select at time of listing. If your actual package exceeds the limits of your chosen size, the carrier will charge an adjustment fee (and those fees add up fast). Sellers will be responsible for any additional shipping charges if a box isn't within the limits of the pre-selected category. Even an extra inch or two can bump you into a much higher price bracket, which is why we recommend to size up if you are unsure!

XS Soft

How to Measure Your Box

If you already have a box, here's how to check that it fits within your selected size.

Measure Three Sides

Measure the length (longest side), width, and height of your box in inches.

Add Them Up

Add all three numbers together: L + W + H = total. This total must be equal to or less than the max for your selected box size.

Example: You're shipping a pair of hiking boots.
Your box measures 14"(L) x 10"(W) x 5".(H)
14 + 10 + 5 = 29 inches total. The longest side is 14". It weighs 4 lbs.
This fits within the Small Box limits (max 30" total, max 18" length, under 15 lbs).

Packaging Tips

A little care goes a long way. Here's how to make sure your gear arrives safely.

Use a Box That Fits

A snug fit means less movement and less risk of damage. If your box is too big, cut it down to size. There are plenty of tutorials online for resizing cardboard boxes.

Protect Fragile Items

Wrap delicate items in bubble wrap or packing paper. Fill empty space with crumpled paper so nothing shifts during transit.

Seal It Well

Use strong packing tape across all seams. Tape the top and bottom for a secure closure.

Reuse Boxes

Reusing boxes is great for the planet and your wallet. Just make sure it fits into your selected category, any old labels or barcodes are fully covered or removed so the carrier doesn't scan the wrong one.

Don't Have the Right Box?

You don't need to buy new boxes! Here are some easy options:

Cut a bigger box down to size. If you have a box that's too large, you can score and fold the cardboard to reduce its dimensions. This is one of the best ways to avoid carrier adjustment fees.

Check your local shops. Grocery stores, liquor stores, and outdoor retailers often have free boxes available! Just ask.

Use what you have. Save boxes that arrive to your door, use shoe boxes, and other packaging you'd normally recycle. If it doesn't fit into your selected category, cut it to fit!

In a pinch you can find boxes at any local UPS, USPS, FedEx, or online for purchase.

What If My Package Is Over the Limit?

Carriers measure and weigh every package. If your package exceeds the limits of the box size you selected (even by a small amount) the carrier will charge an adjustment fee. These fees can be significant, sometimes adding $10–$40+ to the shipping cost.

As a seller, you are responsible for carrier adjustment fees. The Gear Project reserves the right to pass these charges on to the seller. Choosing the correct box size upfront is the easiest way to avoid this. Not sure? Go one size up. It's always cheaper than an adjustment fee.

Shipping FAQs

What if I'm not sure which box size to choose?

Grab a tape measure and measure your item. Add the length + width + height together, and add 6 inches for the smallest possible box. That total (plus the weight), will tell you which category you need.

When in doubt, go one size up. It's better to choose a slightly larger category than to risk adjustment fees for a package that's too big for the size you selected. You can also use the "Advanced" option when listing to enter exact box dimensions if you have them.

Can I use a soft mailer instead of a box?

Yes! The XS Soft category is designed for items that ship in padded mailers or poly bags. This works well for lightweight, flexible items like t-shirts, shorts, and liner gloves.

Do I need to pay for shipping?

No. The buyer pays for shipping at checkout. You just need to pack the item and print the prepaid label we send you.

Where do I drop off my package?

You can drop it off at any USPS or UPS location, based on which carrier was selected at checkout. Check your shipping label for the specific carrier.

What if my item sells and I don't have a box yet?

You'll have a few days to ship. Use that time to find a box that fits your selected size. Check the tips above for where to find free boxes.

How are shipping prices calculated?

Shipping costs are based on the address of the buyer and the box size category. Shipping prices are estimated at checkout once a buyer has input their address. Because you are selling with The Gear Project, you have access to better rates on shipping than you would get at UPS and USPS storefronts!
